Trade · The core commitment

We will not approach your client. Not during, not after

This is the term that decides whether an agency can safely introduce a supplier to a client at all. Most suppliers put it in clause nineteen. We put it on a page of its own, because if you cannot trust it, nothing else on this site matters.

What we commit to, precisely

  1. We do not contact your client. Not for marketing, not for feedback, not for a testimonial, not for a rebooking. Any communication with them runs through you or with your written approval.
  2. We do not quote your client directly, during the relationship or for thirty-six months after the last programme delivered for them.
  3. If your client approaches us, we redirect them to you and tell you it happened. We do not quietly take the enquiry and we do not quietly ignore it either.
  4. Our DMCs are bound by the same term. The exclusive agreement we hold with each operator contains a matching clause, which is the point of contracting them rather than referring you to them. On-site staff are briefed accordingly.
  5. We do not operate a consumer channel. No retail website, no consumer advertising, no direct booking engine. The commitment is easier to keep when there is nowhere for the traffic to go.
  6. Your client list is not a marketing asset. Client details supplied for a programme are used to deliver that programme and are not added to any list.
What this does not cover

If a company that was your client three years ago approaches us independently, having found us through a search, and has no live relationship with you, we are not obliged to decline forever. The thirty-six month window is the protection, and it is measured from the last programme we delivered for them through you. Anything longer would be unenforceable and we would rather promise something we can keep.

How it is actually enforced

A clause without a mechanism is decoration. Three things make this one real.

  • Client identity is recorded at booking, with the introducing partner attached. Any subsequent enquiry from that entity flags against the record before a quote is issued.
  • Our sales team cannot see net-to-retail conversion. There is no internal incentive to know who your client is or what you sold to them for, which removes the temptation at its source.
  • The DMC contract carries a financial consequence. An operator found soliciting a partner's client is in breach of an exclusive agreement worth considerably more to them than a single programme. That asymmetry does more work than any clause we could write for ourselves.

What we ask in return

  1. Tell us who the client is. The protection cannot attach to an entity we do not know about. Partners who mask the client name for their own protection lose the benefit of this clause — an unavoidable trade-off, and one we will explain rather than let you discover later.
  2. Do not present our DMC as your own operating company. Presenting the programme under your brand is expected and supported. Telling a client you own ground operations in Vietnam is a different claim, and it becomes your problem the day something goes wrong on site.
  3. Pass on operational information that affects safety. Medical conditions, mobility needs, dietary restrictions. Withholding these to protect the client relationship puts people at risk and we will escalate it.
  4. Do not shop the same programme through two of our partners. It produces two holds on the same inventory and both quotes end up worse.
Common questions

Questions partners ask most

Will your on-site staff hand out business cards to our guests?

No. On-site staff carry your programme identity where you have supplied it, and they are briefed not to distribute their own contact details to delegates. If a delegate asks directly, they give your contact.

What if our client asks who is actually operating the programme?

We expect you to answer honestly if asked directly — a corporate client running a duty-of-care check is entitled to know who is on the ground, and concealing it creates a much larger problem than disclosing it. What the clause protects is solicitation, not the existence of a supply chain.

Does this survive if we stop trading with you?

Yes. The thirty-six month window runs from the last programme delivered, regardless of whether the trade relationship continues.

Can we get it in writing before we register?

Yes. Ask and we will send the clause text before you commit to anything. It would be a strange term to be cagey about.
