Your logo, your voice, no trace of us
Everything your client sees carries your identity. That includes the proposal, the itinerary, the on-site programme booklet and the post-event report. It is the normal case, not an upgrade, and there is no charge for it.
What you get
For winning the business
Day-by-day programme, named properties, inclusions, and the commercial page left blank for you to price. Supplied in an editable format so you can cut what does not suit your client.
For the confirmed group
Final schedule with times, meeting points and contacts, formatted for printing or for a delegate app.
Signage and badges
Welcome signage, badge templates and room drops carrying your identity. Produced locally at cost.
For your client's file
Attendance, photographs, an account summary and a written note of anything that deviated from plan. Under your brand, ready to forward.
For procurement
Staffing ratios, safety positions, insurance and contingency policy, written to survive a corporate procurement review — presented as your supplier standards.
Licensed for your use
Destination and property photography cleared for your client-facing use. Not stock, and not watermarked.
The limits, stated up front
- Do not claim to own ground operations. Presenting the programme under your brand is expected. Telling a corporate client you own a DMC in Vietnam is a factual claim that becomes your liability the moment a duty-of-care review asks for the operating entity's licence.
- Safety and insurance documents name the actual operator. They have to. Any procurement process that reaches this level will see the operating entity, and a document that concealed it would be worthless.
- On-site staff wear your programme identity, not your company uniform. Badges and shirts carrying the programme name are normal. Presenting our coordinator as your employee crosses into a claim we cannot support if there is an incident.
- We do not produce documents making claims we cannot verify. If a draft asserts a property standard, an award or a certification that is not accurate, we will flag it rather than typeset it.
- Property and venue names are not concealed. A proposal that hides which hotel the group is staying in does not survive contact with a serious client, and we will not produce one.
White labelling is about who the client experiences as their supplier. It is not about concealing the supply chain from a client who asks a direct question. Keeping those two apart protects you far more than it protects us — you are the one holding the client relationship if the concealment is discovered.
How to get one
- Send your brand assets once. Logo in vector, two brand colours, a display and a body typeface, and a proposal you consider well made so we can match the register. Held on file; you never send them again.
- Brief the programme as usual. The proposal is produced from the same enquiry as the quote, not as a separate request.
- 48 hours from quote approval to a branded proposal in an editable format.
- Edit freely. It is your document from that point. We do not ask to approve what you send your client, and we do not need to see the price you attached.
Questions partners ask most
Can you produce it in a language other than English?
Vietnamese and English as standard. Other languages on request, produced by a translator rather than machine — turnaround extends to about four working days.
Can we present at the client meeting with your team on the call?
Yes, and it works well for large programmes. We attend as your supplier or as a technical specialist, whichever you prefer, and we follow whatever framing you have set with the client. Agree it beforehand rather than mid-call.
Do you keep our client's details after the programme?
Only what is needed for the operational record and for tax and legal retention. Client details are never added to a marketing list. See non-circumvention.
Can we get the proposal in our own template?
Send the template and we will populate it. Most partners find the branded version faster after the first programme, but if you have an established format your clients recognise, keep it.
Where to go next
Four fields and you can send
Send the outline and we will come back within eight working hours with feasibility — whether the dates hold at that headcount and what constrains them — and a detailed net quote within three working days.
