Every outdoor gala carries a contracted indoor alternative
Four settings across three destinations, each with a different failure mode. The one rule that applies to all of them is that the fallback is contracted in advance and held — not identified on the afternoon.
The four settings
| Setting | Destination | Ceiling | Fails when |
|---|---|---|---|
| Beach | Phu Quoc, Da Nang | About 250 | Rain, or wind above about 20 kt which takes down anything rigged |
| Ballroom | Da Nang, some Phu Quoc properties | About 300 | Rarely — this is the reliable option and it is the least memorable |
| Riverside | Da Nang, Hoi An | About 150 | Rain; and the old town's access constraints slow load-in badly |
| Sun deck | Ha Long Bay | About 70 | Rain, cold, or a headcount above the deck's seated capacity |
A deck seats about 70 and a beach seats about 250 — these are physical dimensions and no budget moves them. Establish the headcount against the setting before proposing the setting to a client, because reversing that decision after approval is where agencies lose credibility.
Production scope
- Standard package: stage or low riser, backdrop, PA sized to the room, basic lighting wash, bilingual MC, and a rehearsed run of show. Included in the net rate at a defined level.
- Beyond standard: LED wall, full lighting rig, live band, dancers, custom set build, photography and video. Quoted separately at programme level because it does not scale per head.
- Always included: a run-of-show document, a rehearsal slot, and a named production contact on site.
- Never assumed: alcohol beyond the welcome service. It is the single largest variable in a gala budget and it belongs in the client conversation early.
Groups drop the rehearsal to save an afternoon. It is the most reliable predictor of an evening running badly — awards read in the wrong order, a video that does not play, a speaker who cannot find the microphone. We build it into the schedule and we will push back when it is cut.
The wet-weather rule
- Every outdoor gala has a contracted indoor alternative, held for the same date, at the same venue where possible. Held means paid for or contractually committed, not verbally available.
- The decision deadline is D-1 at 16:00 for anything requiring rigging, with a final confirmation at 14:00 on the day.
- The alternative is named in the programme document your client receives before travel, so nobody is discovering the plan at 15:00.
- The cost difference is stated as a formula in the quote, so the conversation on the day is about logistics rather than money.
This requirement is why our quote is occasionally higher than a supplier who leaves the contingency blank. It is worth being able to explain that difference to a client rather than discounting to match.
Questions partners ask most
Can a beach gala hold 300?
On a small number of beaches in Da Nang, yes. On Phu Quoc, about 250 is the practical ceiling and it depends heavily on the specific stretch. Both need a site visit before the number is confirmed to a client.
Are fireworks possible?
Rarely, and only with permits obtained well in advance at specific venues. Not available at the Ha Long anchorages at all. Cold sparklers indoors or on a beach are usually the workable version.
How late can a gala run?
A resort or ballroom venue typically to 23:00 or midnight. On the bay, amplified music stops around 21:45 under the anchorage noise rule, which is set by the bay authority rather than the operator.
Who writes the run of show?
We do, from your client's content, and we send it for approval at D-7. Where the client has an internal events team we work to their document instead.
