One destination has breakout rooms. The other two do not

Most destination marketing treats conference capability as a given. It is not. Across our three destinations there is one where a multi-stream conference is straightforward, one where it is limited, and one where it is impossible.

The order to verify in

Check function space before bedrooms. A resort with 400 rooms may have one ballroom seating 200 and two small meeting rooms. Partners routinely confirm room availability, propose to the client, then discover the conference does not fit — and by then the client has approved a destination.

Delegate packages

Quoted per delegate per day, half or full, and included in the net sheet. The structure is standard across destinations so a comparison is meaningful.

  • Full day: main plenary room, standard AV, two coffee breaks, working lunch, water and stationery, and a technician on site.
  • Half day: as above with one break and no lunch.
  • Breakout rooms: quoted per room per day, not bundled. Bundling them conceals the constraint, which is the opposite of useful.
  • Standard AV: screen, projector or LED, a lectern microphone and two handhelds, basic lighting. Anything beyond is a production line item.
  • Not included: simultaneous interpretation, streaming, recording, stage build, registration technology.

Technical checks worth running before contracting

  1. Ceiling height in the plenary room. A ballroom seating 300 with a 3.2 metre ceiling cannot take a stage and a screen at a viewable height. This is the most common venue failure and it is invisible on a floor plan.
  2. Pillars. Ask for a floor plan with structural columns marked, not a capacity chart. A room seating 250 theatre style with two pillars seats far fewer with sightlines to a stage.
  3. Power available in the room, as a load figure. Give the venue your production company's schedule and get a written yes or no.
  4. Bandwidth, as a number. 'We have wifi' is not an answer for a hybrid session. Ask for committed bandwidth and whether it is shared with guest rooms.
  5. Load-in access. Whether a truck can reach the room, and through which doors. For any programme with a stage build, this determines the schedule.
  6. Noise adjacency. What is in the room next door on your dates. A breakout stream beside a wedding is a resolved problem only if you asked in advance.
Common questions

Questions partners ask most

Can a 200-delegate conference with breakouts work outside Da Nang?

On Phu Quoc, in a small number of properties, with two breakouts rather than four. On Ha Long Bay, no. We will name the properties that can do it rather than implying the destination generally can.

Do you handle registration and badging?

Yes, as a production line item — desk, staffing, badge printing on site and an attendance export. Not included in the delegate package because most programmes do not need it.

Is simultaneous interpretation available?

Yes in Da Nang, with booths and certified interpreters. On Phu Quoc it is possible with interpreters flown in, which changes the cost. On the bay, only whisper interpretation for a small group.

How far ahead for a conference above 150?

Ninety days minimum, 120 in peak season. Function space of that size has fewer alternatives than bedrooms and it goes first.
